Names as the assistants wrote them, grouped when they meant the same business. One run per question: answers change from run to run, so treat this as a snapshot. We are not affiliated with any business listed and don't rank or endorse them. How we measure

What ChatGPT and other assistants named for US accounting software

Our data On October 14 we asked ChatGPT, Google AI Mode, Gemini and Microsoft Copilot six questions a US small business owner might ask about accounting software. All 24 answers came back, and they were concentrated: 35 different tools were named in total, and five of them appeared in almost every answer.

Xero and Zoho Books were each named in 23 of 24 answers, QuickBooks Online in 21, Wave and FreshBooks in 19. All five were named by all four assistants. Plain "QuickBooks" was counted as a separate name and appeared in 9 answers, often next to QuickBooks Online, and Sage 50 was named in 5. Of the 35 names, 20 came up only once.

For a smaller accounting tool, this is the main finding. In a broad question, the answer is usually built around the same five names, and any other tool competes for the one or two remaining slots. The assistants named between 33 (ChatGPT) and 45 (Copilot) tools across their 6 answers, so each answer held about six or seven names, most of them taken by the same group.

The alternatives question still named QuickBooks

The question about alternatives to QuickBooks included QuickBooks itself in the answers from Google AI Mode, Gemini and Copilot, each as the first name. Xero and FreshBooks were among the next names. ChatGPT's first names were Xero, Zoho Books, Wave and FreshBooks.

Names from neighboring categories

Some names were not accounting software in the narrow sense: Shopify was named in 3 answers, Stripe and PayPal in 2 each, Gusto in 2 (both by Gemini), and inventory tools appeared too: Unleashed in 2 answers, and Katana in Gemini's answer to the inventory question. Answers describe the tools a small business uses around its books, so integrations can be part of the answer.

Where the names come from: websites cited for US accounting software

Our data This category was heavily sourced. ChatGPT, Google AI Mode and Copilot attached links to all their answers, Gemini to 5 of 6. The most-cited websites were nerdwallet.com (11 of 24 answers), cnbc.com (10), fitsmallbusiness.com (8), pcmag.com (7) and quickbooks.intuit.com (7). Investopedia, the U.S. Chamber of Commerce site (uschamber.com), dupple.com, reddit.com and youtube.com followed with 5 each.

Vendors' own sites were also cited: quickbooks.intuit.com most often (7 answers), then xero.com (3), zoho.com and waveapps.com (2 each) and freshbooks.com (1). Google AI Mode cited the widest spread, up to 16 different websites in one answer.

For software, the cited sources in this snapshot included accounting-software roundups and reviews from personal-finance and business media, alongside vendors' own pages. The data does not show how the assistants weighted any one source.

Where accounting software is usually listed and reviewed (advice): software review sites such as G2, Capterra and TrustRadius; comparison articles from personal finance and business publications; the app marketplaces of the platforms you integrate with (for example an e-commerce or payments platform); and forums and communities where owners and bookkeepers discuss tools.

How buyers ask about US accounting software

Our six questions covered a general recommendation, a feature need (inventory tracking and automatic invoicing), value for money, trust (most highly reviewed), urgency (set up and start using today) and alternatives to QuickBooks. Buyers usually ask with more context: their business type, size, state and the tools they already use. Questions worth testing, written the way people type them:

  • "Which accounting software works with Shopify and handles sales tax for a small store in Texas?"
  • "Simple bookkeeping app for a freelancer in the US who sends about 10 invoices a month"
  • "Accounting software for a small construction company in the US with job costing"
  • "Which accounting software can my CPA access, for a two-person LLC in California?"
  • "Cheaper alternative to Xero for a US nonprofit"

The narrower the question, the more room there may be for a tool that is built for that case. Test the questions where your product differs from the five names above.

Other tests in this series cover accounting and tax firms in San Diego and CRM software.

What an accounting software company can check about how AI assistants name it

Advice: these checks are concrete and can be done in a day or two. None of them can promise a mention; they make it easier for anyone reading about your product to describe it correctly.

  1. Make the pricing page readable as text. Plan names, monthly price, what each plan includes, user limits, the free plan or trial length. Roundup articles quote prices, and a page that only works with toggles and images is easy to misquote.
  2. Publish honest comparison and alternatives pages. "Your tool vs QuickBooks Online" and "QuickBooks alternatives" pages that state real differences in pricing and features, with a date, answer the question buyers type.
  3. Give each job a page. Invoicing, inventory, sales tax, 1099 contractors, bank feeds, receipt capture, multi-currency: one clear page per job, saying who it is for, beats one long feature list.
  4. List integrations by name. Shopify, Stripe, PayPal and Gusto were named in some answers. If you integrate with payments, e-commerce or payroll tools, list them by name on an integrations page and in the marketplaces of those platforms.
  5. Check the roundups that were cited. Open the NerdWallet, Fit Small Business, PCMag, Investopedia and CNBC articles that appear in your own answers. Are you included? Are your prices and plan names current? Many publications have a way to send corrections.
  6. Keep review profiles current. On G2, Capterra and TrustRadius, check your category, pricing, screenshots and recent reviews, and that the product name matches your site.
  7. Make "start today" true and visible. One question asked for software that can be set up today. Sign-up without a sales call, the trial length and an import guide from QuickBooks or Xero should be easy to find in text.

How to check if ChatGPT names your own tool

Write the questions your buyers ask, including the ones where you are the better fit, and ask several assistants. Note who is named, in which order and which websites are cited, then repeat after a few weeks, because answers can change from run to run. CheckAI checks your own customer questions across the same four assistants and shows the names and cited websites for every answer; a first check on ChatGPT and Google AI Mode is free.

Questions

Can a smaller accounting tool get named by ChatGPT next to QuickBooks and Xero?
In this run, 30 tools shared the space left by the five most-named ones, and 20 of them appeared once. It happens, but rarely and not consistently, so a smaller tool should test the specific questions where it differs from the big names.
Which websites do ChatGPT and other AI assistants cite for accounting software?
In our answers, mostly comparison and review articles: nerdwallet.com was cited in 11 of 24 answers, cnbc.com in 10, fitsmallbusiness.com in 8, pcmag.com and quickbooks.intuit.com in 7 each. Your own results may differ by question.
Do comparison pages on my own site help with AI mentions?
We did not measure that. As advice, a factual comparison or alternatives page states your pricing and differences in plain text, which is useful for buyers whatever an assistant does with it.
Do G2 or Capterra reviews matter for being named by ChatGPT?
A g2.com page was cited in one of our 24 answers, so review sites appeared but were not a main source here. Keeping your profile current is still a reasonable check, as buyers read them.
